What is the difference between a venue coordinator and a wedding planner?

Choosing your venue is often the moment a wedding begins to take shape. However, it is also where many couples pause and ask a key question: if the venue has a coordinator, do we still need a wedding planner?

It is an understandable assumption — and one that venues sometimes reinforce. Yet, while both roles are valuable, they are fundamentally different in scope, responsibility, and intention.

Having worked across weddings in Canada, South Africa, the UK and Europe, I can say with certainty that understanding this distinction early will transform not only how you plan, but how your wedding ultimately feels.

The role of a wedding planner

Working with an independent wedding planner often begins well before a venue is secured. In fact, this is where the most considered celebrations truly take shape.

A planner’s role is entirely centred around you. We take time to understand your priorities, your pace, and how you want your wedding to feel — not just how it should look. From there, we guide you towards venues that align naturally with your vision, whether that is a historic estate in the English countryside, a vineyard setting, or a destination celebration abroad.

Once your venue is secured, the process becomes both creative and highly structured.

We curate your supplier team with intention, ensuring every collaborator aligns with your aesthetic and expectations. We review contracts carefully, manage your budget with clarity, and design a cohesive experience that flows seamlessly from ceremony through to the final moments of the evening.

Equally, we build the framework behind the scenes. This includes developing a detailed timeline, managing logistics across multiple suppliers, and ensuring that every moving part is aligned well before your wedding day.

Weddings can require upwards of 250 hours to plan. Having a planner allows you to step away from the complexity and instead experience the process with clarity and confidence.

Above all, a wedding planner is your advocate — ensuring every decision is made with your priorities at the centre.

The role of a venue coordinator

Once your venue is secured, you will be introduced to the venue coordinator. While they are an important part of the wider team, their role is often more specific — and more operational — than many couples initially expect.

At Atelier Ateljee, we remain your primary point of contact throughout the planning process. This means we continue to manage your guest numbers, develop and refine your floor plans, guide catering selections, and oversee the overall flow of your day. We liaise directly with the venue on your behalf, ensuring that every detail is communicated clearly and implemented correctly.

The venue coordinator’s role, therefore, sits within a defined scope.

They are responsible for the venue itself and the services it provides. This includes ensuring that the space is prepared as agreed, that catering is delivered to the expected standard, and that the venue’s team is aligned with the final plans. They will also typically be involved in producing or contributing to the venue’s function sheet, which outlines the elements they are accountable for delivering.

As the wedding approaches, we work closely with the coordinator to ensure all information is accurate and consistent. However, rather than leading the planning, they are executing within the framework that has already been carefully developed.

On the wedding day, their focus remains on the venue’s performance — ensuring service runs smoothly, timings are adhered to from a catering perspective, and the operational side of the venue is delivered seamlessly.

In essence, while the venue coordinator ensures the venue does what it has promised, we ensure that your entire wedding experience — across every supplier, every moment, and every detail — comes together exactly as envisioned.

Key differences couples should understand

WHO THEY WORK FOR

A wedding planner is appointed by you and represents your interests at every stage.
A venue coordinator is employed by the venue and represents the venue’s operations.

SCOPE FO RESPONSIBILITY

A planner manages the full wedding journey — from early planning through to on-the-day execution.
A coordinator manages the venue’s role within your wedding.

DESIGN AND SUPPLIER CURATION

A planner develops your overall aesthetic and sources your supplier team.
A coordinator may provide a preferred supplier list but does not typically manage or curate your team.

LOGISTICS AND TIMELINE MANAGEMENT

A planner creates and distributes a detailed schedule across all suppliers and manages the full flow of the day.
A coordinator focuses on timings related to venue operations, such as catering and room transitions.

ON-THE-DAY PRESENCE

A planner oversees the entire wedding, managing suppliers, styling, and troubleshooting in real time.
A coordinator ensures the venue delivers its agreed services, often behind the scenes.

Why the two roles work best together

When both roles are present and aligned, the experience becomes seamless.

A venue coordinator ensures the space operates exactly as it should. Meanwhile, a wedding planner ensures every other element — from design and suppliers to guest experience — is thoughtfully managed and fully cohesive.

In many of the weddings we oversee internationally, this collaboration is what allows a day to feel effortless.

A considered approach to your wedding

f your priority is to feel supported, to have clarity in your decisions, and to ensure every detail is handled with intention, working with an independent planner will shape your experience in ways that extend far beyond logistics.

It allows you to be fully present — not only on the day itself, but throughout the entire planning journey.
